The situation
The owners run two restaurants: a full-service location and a pizzeria. Like most independent operators, their numbers lived everywhere: item sales in the online ordering platform, food costs in PDF invoices from two broadline distributors, cash in a business bank portal, and everything else in texts and spreadsheets.
They could see revenue, but not profit. There was no daily answer to "did we make money yesterday?", no clear break-even, and no easy way to spot a supplier price increase before it had eaten a month of margin.
What we built
Daily profitability, per location
Each day shows revenue against modeled fixed costs, with a calculated break-even and margin coloring, so a weak day is obvious at a glance.
Automated distributor invoices
One distributor's invoices are pulled hourly from its vendor portal; the other's are read from PDFs. Every line is parsed and checked against the invoice's printed totals.
Bank statements, reconciled
Statements dropped into a shared Google Drive folder are read automatically. Each transaction's direction is checked against the printed daily balances and the statement totals.
Inventory & resale margins
Every distributor product flows into a purchasing catalog at its latest cost, so resale margins update when prices change.
Menu & ingredient analysis
The public menu is imported from the restaurant's own website, and ingredients are parsed from item descriptions to show what drives purchasing.
Marketing command board
A prioritized marketing plan (listings, reviews, SEO, social, email and SMS) with due dates, status, and daily local keyword-rank tracking.
Where AI comes in
A summary of the whole business (sales trends, food costs, cash flow, and marketing, across both locations) is assembled from the live tables. AI reads it and writes an assessment in plain English: what is working, what is slipping, and where the money is going. Findings that changed since the last run are highlighted.
Every open task also has an AI helper that lays out what it would actually take to finish it, specific to this business rather than generic advice. It runs on a flat-rate AI subscription, so there's no per-request API bill.
Built to hold up
Every automated sync reports when it last ran and whether it succeeded, so stale data is visible, not silent. Parsed numbers are reconciled against the source documents before anyone relies on them.
Even the marketing is done carefully. The post-meal feedback flow was designed to follow Google's and the FTC's rules on review solicitation: every guest gets the same public-review option. That avoids the "review gating" shortcut that gets businesses penalized.
The dashboard runs on its own private server behind a login. The owners hold the data, not a third-party platform.
